* Full-time, HEW 7 ongoing appointment based at the City Campus but may be required to work and/or be based at other campuses of the University.
About the Role
The Executive Coordinator provides critical executive and administrative support to the Deputy Vice-Chancellor (DVC) STEM and the Office of the DVC STEM, ensuring the smooth operation of day-to-day activities across the STEM College. Acting as the first point of contact for the DVC, the role requires a high level of discretion, initiative, and professionalism, with regular interaction across the University and with external stakeholders. This role will see you:
* Managing the DVC's complex calendar, travel arrangements, and meeting coordination
* Preparing high-quality briefing materials, correspondence, and reports
* Coordinating key meetings and university-wide events, including agendas, minutes, and follow-up action
* Supporting the operation of governance committees and internal communications
* Overseeing office and records management in line with university procedures
* Facilitating timely and effective communication with senior staff, government representatives, and external organisations
* Assisting with the delivery of special projects and strategic initiatives led by the DVC STEM
About You
You're an experienced executive support professional with a strong background in high-level administration, ideally within a university or similarly complex environment. You bring discretion, initiative, and the ability to manage competing priorities with professionalism.
We're looking for someone who can demonstrate:
* Executive-level support experience in a large, fast-paced organisation.
* Excellent communication skills, with a collaborative, client-focused approach .
* Initiative and strong problem-solving skills, with the ability to work independently and handle sensitive matters.
* Advanced proficiency in Microsoft Office and digital document management tools .
* Experience in financial administration (highly desirable).
* Understanding of the tertiary education sector (highly desirable).
Qualifications
A tertiary qualification with subsequent relevant experience and/or an equivalent combination of relevant education/training and extensive experience.
