De Witt Consulting is a well-established and respected Surveying, Town Planning, Project Management and Ecology consultancy. We're proud of our collaborative culture and the strong relationships we build with our clients and each other.
We're looking for an experienced and proactive Administration Officer to join our friendly Head Office team in Charlestown NSW on a full-time basis.
This role would suit a highly capable all-round administrator with at least 5 years of experience across finance, project support and general administration – ideally within the construction, surveying, engineering or consulting industries.
Indicative Responsibilities
These responsibilities reflect the typical duties of the role and may vary depending on business needs.
Finance & Accounts Support
Prepare, generate and issue client invoices (Accounts Receivable)
Monitor outstanding accounts and follow up overdue invoices
Process supplier invoices and match purchase orders (Accounts Payable)
Assist with weekly payroll processing
Support month-end tasks including reconciliations and reporting
Maintain accurate financial records and assist the Finance Team as required
Project & Office Administration
Assist with project resources (e.g. searches, Dial Before You Dig requests) and accommodation bookings
Provide general administration support including filing, scanning, procurement and document management
Help maintain compliance registers, forms and documentation within our ISO-certified QHSE system
Assist with incoming calls and front-of-house enquiries as part of a supportive team environment
Support managers and project teams with various administrative tasks as needed
Provide backup support to fellow admin team members during busy periods or leave coverage
Skills & Experience
Minimum 5 years' experience in administration roles
Experience in the construction, surveying, engineering or consulting sectors (preferred)
Strong organisational skills and the ability to manage competing priorities
Excellent communication skills, both written and verbal
High attention to detail and accuracy
Proficiency with Microsoft Office Suite (MYOB experience highly regarded)
The ability to work both independently and as part of a collaborative team
A positive, proactive attitude and a genuine willingness to help others
