About the role
UGLs Manufacturing & Maintenance business are currently seeking applications for a Administration Assistant to join our locomotive maintenance team. The successful candidate will split their week between the Mackay office and the Nebo maintenance facility, you will be required to head to Nebo approximately 2 days per week or as required.
Reporting to the Site Manager, the Site Administrator will be responsible for providing day to day administration support to the operations team working at our maintenance facility in Nebo. Utilising the SAP system this role will be responsible for;
1. Input and maintain maintenance records including work orders, asset movements, service orders and invoicing queries
2. Provide support to the management accountant for invoicing
3. Providing payroll support to the blue collar workforce with time sheet entries and processing of leave requests
4. Supporting the management team with reporting and assist the maintenance planner with planning activities
5. Document control activities as well as any other adhoc tasks required by the management team
6. Assisting with accommodation booking and other travel requests
7. Assisting with training booking, raising POs, ordering PPE and managing training records
8. Managing site medical documentation, assisting with booking medical assessments and tracking validity
About you
9. Previous experience with in a administration role ideally in a heavy industry environment
10. Experience using SAP or other ERP systems
11. Strong Excel skills around reporting and roster management
12. Prior maintenance planning experience will be highly regarded
13. Strong communication (oral & written) and influencing skills and the ability to establish effective working relationships with a variety of people at different levels both internally and externally.
14. Experienced gained in the rail, automotive, military, Defence, avionics or any other safety critical environment
