About Sinclair Dermatology
Sinclair Dermatology is the largest dermatology centre in Victoria, Australia, treating more than 50,000 patients a year. We treat a wide range of skin and hair diseases from common ones to rare and very severe conditions requiring treatments not available elsewhere in Australia. We are an internationally recognised centre of research in skin and hair diseases. We are also a postgraduate training centre in dermatology for other health professionals, including dermatologists from all over the world.
The Role
We are seeking a friendly, proactive and customer-focused person to join our team.
In this full-time position, you will be responsible for maintaining patient records, coordinating the doctor's schedule, communicating with GP clinics, booking appointments, responding to patient inquiries via phone and email, preparing procedure quotes, and performing various administrative tasks as assigned by your team leader. This role is essential in ensuring every patient has a seamless and positive experience with our practice.
The role involves but is not limited to:
* Providing exceptional customer service to patients, referring doctors and Sinclair Dermatology specialists.
* Diary management and liaising with patients for several doctors.
* Appointment booking
* Answering incoming calls and assisting patients and other medical providers with their requests and queries.
* Accurate data entry of patient information
* Email management
* Scanning and attaching records to patient files.
* Working closely with our Dermatology specialists and fellows, nurses, dermal clinicians and other supporting staff.
* Other administration tasks such as recalls, reporting and monitoring online bookings.
Requirements of the role:
We are looking for someone who has:
* Previous experience in medical administration or general office administration (preferable)
* Exceptional customer service and communication skills, with the ability to interact with patients and staff in a warm and empathetic manner
* Team player with a positive approach and a genuine desire to help others
* Excellent organisational and time management skills, with the ability to multitask and prioritise effectively
* High attention to detail
* Thrives in a fast-paced environment and adapts quickly to change
* Punctual and reliable
* Is proficient in Microsoft Office Tools
