ABOUT THE ROLE:
We're looking for an experienced Office Manager to run the day-to-day engine room of the business - managing scheduling, job coordination, client communication, and admin systems that keep our team firing on all cylinders.
You'll be the link between the director, onsite crews, and clients - making sure every job runs smoothly from quote to invoice.
WHAT YOU'LL BE DOING:
· Managing calls, emails, and scheduling for multiple job sites.
· Preparing and sending quotes, invoices, and purchase orders (Xero & job management software).
· Coordinating suppliers, builders, and subcontractors.
· Handling client updates, site visits, and timelines with clear communication.
· Overseeing admin systems, compliance docs, and records.
· Supporting the director with reporting, payroll prep, and workflow management.
· Identifying ways to improve systems and boost efficiency.
ABOUT YOU:
You're the type who makes sense of chaos. You love a tidy system, a clear plan, and a team that knows what's next.
You'll thrive here if you:
· Have 5 years in admin, coordination, or operations (ideally in trades, construction, or service-based industries).
· Hold Australian citizenship as this is a requirement for the position.
· Know your way around Xero (invoicing, bills, reconciling).
· Have experience with job management software like Simpro, ServiceM8, or Tradify.
· Have specific experience with Simpro job management software.
· Communicate confidently with clients, suppliers, and field teams.
· Are a natural problem-solver with excellent time management.
· Have sharp attention to detail and take ownership of outcomes.
· Bonus points if you speak "tradie" - any metal roofing or construction knowledge is a plus.
