We’re looking for a sharp, high-performance AI Appointment Setter & Office Operations Coordinator to play a key role in driving both the quality and volume of sales appointments through our AI-powered outbound telemarketing platform.
This is not a passive admin position.
You’ll be responsible for supporting our AI calling systems, overseeing appointment flow, maintaining internal systems, and ensuring our sales pipeline runs smoothly and efficiently. You’ll work closely with our call centre and sales team, helping optimise performance while maintaining high standards across operations and marketing support.

You’ll be working from our Broadbeach office, supporting a dynamic call centre and sales operation, with exposure to AI tools, marketing systems, and automation platforms.
Key Responsibilities
* Monitor and oversee AI-powered outbound calling activity, reviewing calls for quality, consistency, and process adherence
* Step in when required — handling callbacks, speaking directly with prospects who request a human, and resolving enquiries or concerns with a high level of customer service
* Maintain accurate CRM records, appointment details, and call activity tracking
* Manage appointment scheduling and rescheduling to ensure strong calendar flow for the sales team
* Actively manage and optimise AI call flows, including adjusting call volumes to maintain consistent booking capacity for sales representatives
* Support and continuously improve AI performance through structured feedback, training inputs, and workflow refinement
* Assist with call centre operations, campaign coordination, and marketing support
* Identify process gaps and drive system optimisation across CRM, automation, and internal workflows
* Coordinate internally across sales, operations, and marketing teams to maintain structure, efficiency, and performance alignment
