You Opportunity A highly regarded independent girls’ school is seeking an experienced Administration Assistant to join its vibrant Music & Performing Arts Centre within a dynamic school community on a 12‑month fixed‑term contract, commencing 5 May 2026, to cover parental leave. This is a fast‑paced and highly collaborative role, supporting a busy Music and Performing Arts department and playing a pivotal part in the coordination of performances, tuition, events and day‑to‑day operations. Your Role Reporting to the Director of Co‑Curricular Music and Performing Arts, you will provide comprehensive administrative support to ensure the smooth delivery of the School’s extensive music and performing arts program. This role acts as a key point of contact for music tutors, performing arts staff, students and parents, and will suit someone who thrives in a detail‑driven environment, can confidently multi‑task, and enjoys building strong, meaningful working relationships. A commencement date of 5 May 2026 is required to ensure a thorough handover with the current incumbent. Key Responsibilities General Administration Provide daily administrative support to the Director of Co‑Curricular Music and Performing Arts Act as the first point of contact for the department, managing enquiries professionally and efficiently Maintain accurate records and databases across systems including S Clipboard, Music Monitor and TASS Coordinate mail, purchasing, invoices, room bookings and general department administration Prepare correspondence, minutes, reports and presentation materials Music & Performing Arts Support Support ensembles, concerts, performances, school musicals, tours and inter‑school events Administer private tuition including student lists, lesson schedules, agreements, attendance and billing Assist with event coordination including rehearsal scheduling, ticketing, programs, seating and VIP arrangements Maintain registers for instruments, uniforms, resources, piano tuning and departmental archives Support internal and external music and performing arts examinations and achievement tracking Liaise with HR, Payroll and Accounts regarding tutor compliance, timesheets and invoicing About You Given the nature of this position, experience within a school environment is strongly preferred. Applicants without direct school experience must demonstrate a strong and proven administration background in a fast‑paced setting. Essential to this role is demonstrated knowledge of, and experience with, Music and/or Performing Arts. A background in music or performing arts has proven critical to the success of the role, enabling effective communication and support of tutors, ensembles and department activities. You will also bring: Excellent administrative and organisational skills with a high level of accuracy Strong written and verbal communication skills Advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint) Experience using TASS or similar school systems (highly regarded) The ability to prioritise competing demands and meet deadlines A professional, discreet and confidential approach Reliability, flexibility, initiative and a positive attitude Employment Details 12‑month fixed‑term contract (parental leave cover) Commencement: 5 May 2026 Full‑time, term‑time only (40 weeks per year) 38 hours per week, worked between 8:00am – 4:30pm during school terms Additional two weeks per year (one week before and one week after the academic year) Salary: $85,586 gross per annum superannuation pro rata Hourly rate: $43.1633 super Requirements Current Working with Children Blue Card, or ability to obtain How to Apply If you are a dedicated and organised professional with a passion for education and student support, we would love to hear from you!
