Primary objective
Provide high quality administrative, procurement and contract support to ensure consistent coordination, monitoring and reporting
of agreements, MOUs and contracts across the Industries Skills and Employment Directorate. Ensure documentation, governance
and compliance obligations are met, supporting accountable officers and program leads to deliver on their initiatives.
Context statement
The position is based at the Darwin Head office. The Contract and Agreement Administration Officer play a critical role in providing
central oversight and coordination of the multiple contracts, MOUs and partnership agreements in place to deliver training,
development, education and employment programs. The role also coordinates and oversees the administration support for the
directorate to ensure consistency, compliance and accountability.
Key responsibilities
1. Maintain a central register and document repository for all ISE contracts, MOUs and partnership agreements.
2. Monitor key milestones, deliverable and renewal dates and prepare reports to support compliance and accountability.
3. Support accountable officers with procurement, contract establishment, variations and closure documentation.
4. Assist in preparing briefings, correspondence and performance reports related to agreements and service delivery outcomes.
5. Liaise with legal, finance, procurement and partner agencies to ensure consistent interpretation and management of contract
conditions.
6. Maintain accurate electronic and hard copy records in approved systems.
7. Provide administrative support for meetings, committees and program documentation.
Selection criteria
Essential
1. Sound knowledge of administrative and business support practices within a large or complex organisation.
2. Working knowledge of NT Government (or similar) procurement and contract management processes, policies and frameworks.
3. Understanding of governance, accountability and record keeping requirements for the role aligned with Corrections
requirements.
4. Knowledge of document and information management systems such as TRM and proficiency in a range of office administration
systems and applications.
5. Awareness of the programs and work undertaken by the team.
6. Understanding of confidentiality, privacy and ethical obligations in handling sensitive or restricted information.
7. A demonstrated working knowledge of procurement and legislation within a government framework
Desirable
1. Knowledge and understanding of governmental and departmental processes with a sound knowledge of NT Correctional
Services.
2. Formal qualifications in Information Technology, Training and Assessment or an associated field.
