What you'll be doing
As an Administration Officer, you'll deliver high‑level secretarial and administrative support to staff specialists and medical teams across multiple departments. Working under limited supervision, you'll manage competing priorities, exercise sound judgement, and ensure smooth operational support across both campuses when required.
* Key responsibilities include:
* Providing comprehensive secretarial support to Heads of Department and senior medical practitioners
* Managing payroll processes, roster input, leave entry, and VMO pay claim checks
* Coordinating meeting agendas, minutes, scheduling and departmental calendars
* Supporting recruitment activities, including interview panel organisation and onboarding coordination
* Preparing correspondence, presentations, travel arrangements, and conference bookings

* Demonstrated experience in providing secretarial and administrative support at a senior level.
* Demonstrated high level communication skills both verbal and written.

* The ability to work with minimal supervision as well as being an effective and efficient team member demonstrating initiative, judgement and analytic skills.
* Demonstrated experience in Microsoft office, knowledge of medical terminology, drafting correspondence, minute taking and supporting meetings and committees.
* Knowledge of the functions and services associated with working in a hospital or health environment.
* Knowledge or willingness to learn computer packages such as HPEC, VMoney and iPM.
