Australian owned and operated Med-Con is a manufacturer and importer of Disposable Protective Apparel, Medical Packaging, Sterilization Products and Hospital storage and transport systems.
The Position
The primary tasks of the Administration Officer are to ensure customer service requests and payments are actioned, processed and recorded accurately and in a timely manner.
This role also involves administrative support for the Operations Manager, Chief Executive Officer – Manufacturing and other staff from time to time.
The Administration Officer is responsible for the smooth and efficient operation of all assigned tasks.
This includes providing telephone assistance to customers and the general community.
Objectives of the role
Provide assistance to the company all in aspects of administration, accounting and payroll.
Provide prompt, professional and respectful customer service and administration to all stakeholders.
Promptly attend to duties and requests according to the quality standards set within the organisation.
Ensure customers and staff are the primary focus of the administrative service and are provided with accurate information, adequate time and quality assistance
Provide a safe work environment
Key Duties:
Provide reception and administrative support and assistance to Management.
Provide high quality customer service to all customers, both internally and externally, by delivering quality information and services face-to-face, telephone and via email.
Liaise as required with staff and other departments to gain information and to resolve customer issues.
Adhere to Customer Service standards, principles and policies.
Process invoices and remittance advice as required.
Undertake specific tasks as required including invoice processing and related financial processes in accordance with finance policy and procedures.
Operate as part of the administrative team to meet operational and strategic goals and support other administration roles within the broader team as required.
Ensure all records & files are maintained up to date, and are stored and archived
Maintain confidentiality, when required in relation to all aspects of the organisation including payroll.
Attend meetings as scheduled
Maintain a clean and tidy desk and assist with maintaining overall cleanliness of the office and kitchen including re-stocking supplies.
Make a positive contribution to the team environment
Other duties as assigned by the Operations Manager
If required, provide administrative support for accounts payable and receivable, and purchasing.
The actual functions to be undertaken will be allocated by the Operations Manager and may vary from time to time according to the needs within the office.
Reporting Relationships
The Customer Service Officer will report to the Operations Manager.
Required skills & Attributes
Completion of Secondary School, or equivalent, and ideally experience within a small office where multi skilling is necessary
Excellent communication and interpersonal skills including a mature and professional approach to customer service.
Strong computer skills including previous experience with Office Management software.
Excellent attention to detail, and ability to feedback issues to management in a professional manner
Strong organisation skills with a problem- solving attitude.
Dedicated, committed, hardworking team member, who can demonstrate an understanding of the importance of a safe working environment both in the factory and the office
