Brief Description
Provide high-level executive support to the Chief Product Officer, managing priorities, communications and operations in a fast-paced environment.
About The Role
This role provides executive-level administrative support to the Chief Product Officer in delivering business requirements, whilst ensuring an efficient and responsive operating rhythm. This is a full-time, fixed-term 12-month (parental leave cover).

Position Accountabilities

* Provide executive administrative and office management support to the Chief Product Officer, creating an open, accessible environment with efficient, proactive issue resolution;
* Proactively establish and manage a smooth and efficient operating rhythm for the Chief Product Officer, including meetings, diary management and occasional local and international travel itineraries;
* Prepare correspondence, emails, memoranda, presentations, analysis, reports and papers on behalf of the Chief Product Officer at times managing complex, confidential and sensitive information;
* Manage telephone calls, field inquiries, emails, letters and requests and use judgment to escalate urgent matters for the Chief Product Officer's attention;
* Review all approvals prepared for the Chief Product Officer, Australia's signature and proactively ensure relevant business information is in place prior to review by the Chief Product Officer;
* Assist the Chief Product Officer, prioritising work activities using judgment to filter urgent and important activities, including time for strategic thinking, reading and managing daily operations;
* Ensure information is in place for all Chief Product Officer meetings including a clear meeting purpose, agenda, pre-reads, reporting, action follow up and papers. Proactively advise stakeholders of changes to plans and/or delays;
* Perform reasonable and relevant activities as requested to meet role accountabilities and/or operational requirements;
* Ensure the Chief Product Officer is fully briefed and prepared on all issues that are or need to be brought to their attention, including customer, risk, legal, financial and reputational issues. Use business knowledge and judgment to proactively manage complex, confidential and sensitive issues;
* Ensure that all actions aligned to, or commitments made by the Chief Product Officer are addressed in a timely way;
* Present a positive and professional image to all employees, visitors and customers;
* Plan, organise and run events while managing all project delivery elements within time limits, as required;
* Assist the Chief Product Officer and Product leadership in employee engagement activities and promote a positive team culture;
* Monitor and coordinate annual leave, location, absence and expense disciplines for the Product team;
* Proactively track and archive key business information, including contracts and business documents, to ensure information can be easily referenced in the future and meet audit requirements; and
* Manage and monitor expense claims, credit card reconciliations and information on behalf of the Chief Product Officer and in accordance with company policy.

What Experience You'll Bring
Qualifications and Experience

* Minimum 3-5 years Executive Assistant experience at a senior level;
* Demonstrated ability to proactively establish priorities, anticipate needs and use sound judgment to manage complex, confidential and sensitive activities;
* Resourceful and logical thinker with excellent attention to detail;
* Analytical and presentation skills;
* Proven organisational and time management skills;
* Enthusiastic self-starter with excellent ability to multitask, prioritise and work under pressure;
* Strong interpersonal and influencing skills with the ability to build and maintain relationships across all levels of the organisation;
* Strong written and verbal communication skills;
* Advanced skill level in Microsoft applications (Word, Excel, PowerPoint and Outlook) and office management software (travel, expenses, etc.); and
* Ability to work autonomously and as part of the broader Executive Assistant team.
