What's involved in the role?
We are offering a part-time position including 30–35 hours per week, up to five days. We support flexible working arrangements with a hybrid structure of three days in the office and two days working from home!
This role is pivotal in assisting with new enquiries, managing bookings, responding to emails about timing, schedules, services & parking and ensuring our brides special day run as smoothly as possible!
The ideal candidate will be organised, be able to deal with high volume, multi-task and possess strong logistics and administrative skills via email and phone. They should thrive in a small team environment, where collaboration and teamwork are essential.
What does a Booking & Logistics Coordinator involve?
* Becoming familiar and knowledgeable with each artist and their representation preferences
* Overseeing and updating each booking in our calendar management system to ensure there is no room for error
* Assisting with emails and making sure this is up to date and responses are sent to clients within 24 hours.
* Assisting our Bridal Agent with client follow-ups and sales
* Creating schedules for all bookings
* Being able to manage high volume emails such as sending out reminder emails for trials and wedding/event bookings
* Assisting with our Prahran studio appointments, booking in new clients and actioning any changes
* Assisting our General Manager with commercial enquiriesand invoicing
* Assisting artist's with any queries such as payments, rates, services & trials
* Dealing with any last minute cancellations or artist/client feedback
* Creating and sending out personalised proposals for our clients
* Updating client proposals when requested and re-sending them for potential sales conversion
* Assist team with upcoming events such as One Fine Day Bridal Expo, Brownlow and Races
* Proven experience in sales or customer service, preferably in the beauty/retail or wedding industry but not essential.
* Strong organisational and time management skills with attention to detail.
* Excellent communication and interpersonal abilities in both email and phone
* Ability to work effectively in a small team environment and support colleagues as needed.
* Proficiency in a variety of computer programs and ability to adapt to new software systems.
* A BIG passion for beauty, weddings, and events.
* Comfortable working in our office located in Prahran three days a week, with the flexibility and capability to work remotely for two days.
