About the Role
We're looking for a confident and proactive Executive Assistant to support Showpony's two Founders (Group Managing Director and Group Creative Director). The Executive Assistant will act as a trusted right–hand partner, providing high-level executive and operational support. In this unique role, you'll have the opportunity to be closely involved in the inner workings of one of Australia's top performing advertising agencies.
From Business Development and Marketing to Management and Shareholder Meetings, this role goes beyond traditional diary management. You'll be working across all aspects of the Showpony Group, often having to manage competing priorities across multiple offices.
The role will also have a large focus on the New Business processes while our BDM is on maternity leave. You'll work closely with the management teams across each office to identify potential prospects, assisting with finding contacts and building up our CRM database, sending out new business packages, and setting up calls and meetings on our MD's behalf.
Given the nature of the role, it requires strong verbal and written communication skills and a level of confidence, with the added layer of being able to make phone calls and draft emails on behalf of the Managing Director.
As you'll be involved in every facet of the Showpony business, this role requires a high level of discretion, and a sense of maturity around handling sensitive information.
Your Responsibilities will Include:
* Proactive inbox and calendar management, helping the MD map out his day
* Prioritisation of meetings aligned to strategic objectives
* Tracking and driving follow-ups on key strategic initiatives
* Supporting new business pitch logistics (prospecting, packaging and sending of new business mailouts, follow ups to confirm meetings/phone calls)
* Booking interstate flights and accommodation
* Project coordination as required
* Arranging of staff and client gifts and events
* Ordering office supplies
* Coordination of marketing (socials and PR)
Qualifications
* 2-3+ years administration/EA experience
* Excellent written and verbal communication skills
* Strong problem-solving and multitasking abilities
* Exceptional discretion and ability to maintain confidentiality of highly sensitive information – trust is paramount
