Port of Hastings Corporation (PoHC) is seeking a highly organised and proactive Executive Assistant to provide high-level support to the Chief Executive Officer and broader executive team during an exciting period of growth and strategic development.
This is a unique opportunity to join a Victorian Government-owned organisation at the centre of major state infrastructure and renewable energy initiatives, including the proposed Victorian Renewable Energy Terminal (VRET), which will support Victoria's offshore wind future and net zero targets.

Port of Hastings Corporation manages the landside operations and future development of the Port of Hastings — Victoria's premier deep-water port. As a State-owned entity governed by an independent Board, we play a critical role in supporting freight, logistics, trade, and sustainable infrastructure development within the environmentally significant Western Port region.
About the Role
Reporting directly to the CEO, the Executive Assistant will play a critical role in ensuring the smooth operation of executive and corporate activities across the organisation.
This role is suited to an experienced EA who thrives in a fast-paced environment, exercises sound judgement, and can confidently manage competing priorities while maintaining professionalism, discretion, and strong attention to detail.
You will work closely with the CEO, CFO, senior executives, government stakeholders, and board representatives to support strategic and operational outcomes.
Key Responsibilities
* Provide high-level executive support to the CEO and CFO
* Coordinate Board and governance activities including agendas, board papers, minutes, and action tracking
* Manage complex calendars, meetings, travel arrangements, and executive logistics
* Prepare and proofread correspondence, reports, presentations, and briefing materials
* Liaise professionally with Ministerial offices, Departmental stakeholders, and external partners
* Screen and prioritise incoming communications using sound judgement and discretion
* Coordinate meetings, workshops, events, and conferences including catering and IT requirements
* Maintain confidential records and documentation
* Track deadlines, monitor action items, and support timely delivery of business priorities
* Support onboarding and induction activities
* Foster strong working relationships across the organisation and with external stakeholders
* Provide occasional support to front office and broader administration functions as required
About You
You are a highly capable Executive Assistant with excellent organisational skills, strong initiative, and the ability to operate autonomously in a dynamic environment.
You will bring:
* Demonstrated experience supporting senior executives in a complex corporate, government, or operational environment
* Exceptional written and verbal communication skills
* Strong organisational and multitasking capabilities
* High attention to detail and accuracy
* Advanced Microsoft Office skills including Outlook, Word, Excel, PowerPoint and Teams
* A professional, adaptable and solutions-focused approach
* The ability to maintain confidentiality and manage sensitive information with discretion
* Experience engaging with internal and external stakeholders at senior levels
Experience within Victorian Government or major infrastructure/project environments will be highly regarded.
