About the Role:
This role provides end-to-end HR support and business operations services across Kongsberg Maritime Oceania. The HR & Business Support Officer delivers high-quality transactional HR services, expert guidance to employees and managers, and ensures HR processes run smoothly both within and outside Workday, HR system.
The role also supports broader business operations including facilities, insurance, compliance, contract administration, and coordination of key organisational processes.
Contract period: Mid-January/February 2026 through to October–mid-November 2026, with potential for extension.

Accountabilities:
1. Human Resources Support
* Provide first-line support to employees on general HR queries.
* Manage and deliver core HR administrative processes and operational services.
* Offer accurate, timely guidance to managers and employees on HR procedures and policies.
* Support employee development and performance management, including coordinating training, promotions, transfers, organisational changes, and assisting managers with goal setting, performance evaluations, and review conversations.
* Provide advice on employment legislation across all Australian states, staying updated on regulatory changes.
* Conduct workplace investigations and provide recommendations.
* Maintain accurate and up-to-date employee records, including Workday data and HR documents.
* Manage return-to-work and workers' compensation processes.
* Lead end-to-end recruitment and selection processes in collaboration with line managers, the Country Manager, and external recruitment agencies.
* Coordinate and administer the annual salary review process in Workday with the Country Manager.
* Manage the entire employee lifecycle, including recruitment, onboarding, orientation, induction, and offboarding processes.
* Manage medium to long-term visa applications for the Oceania region in collaboration with an external migration agent.
* Contribute to HR projects and initiatives across the wider HR team (e.g., regional talent projects, grade calibration, policy alignment).
* Collaborate with HR managers across the APAC region and GCS HR representatives, attending meetings to stay updated on group policies and initiatives.
* Coordinate team-building and social activities, including team lunches and dinners, in collaboration with the Country Manager and Office Administration, to foster a positive and inclusive workplace culture.
* Prepare and run HR reports as requested by the Finance team and other managers to support business operations and decision-making.
* Facilitate the administration of employee surveys (Workday Peakon), analyse ratings and feedback, and support people managers in implementing positive improvements.
2. Demerger Support
* Stay up to date with Kongsberg Maritime's demerger information and act promptly to be ready for the demerger in April 2026.
* Assist the Country Manager with all HR-related administrative tasks in relation to the demerger.

Compliance & Ethics
* Promote and sustain a strong ethics and compliance culture within the organisation.
* Deliver compliance-related training and maintain associated records.
* Serve as a trusted point of contact for employees with compliance questions or concerns.
* Ensure fulfilment of local compliance obligations and report to the corporate compliance function as required.

Business Support & Facilities
* Promote a safe and secure work environment across the organisation.
* Coordinate access control and security permissions across four Oceania sites.
* Support facility maintenance and liaise with building owners and contractors.
* Manage external non-role-related administrative contracts (telecommunications, office equipment, waste collection, cleaning services).
* Oversee local insurance documentation and coordinate renewals as needed.

Qualifications:
* Bachelor's degree minimum
* HR Academic qualification preferred

Experiences:
* Minimum of 3 years' hands-on experience across a wide spectrum of HR functions.
* Proven change advocate with the ability to drive HR initiatives.
* Strong interpersonal skills, with the ability to establish positive communication channels across HR Business Partners, HR Managers, Business Support, and Line Managers.
* Strategic thinker, able to anticipate scenarios and potential challenges.
* Effective listener and communicator, capable of understanding business needs and responding appropriately.
* Highly organised, with strong project and workflow management skills to meet ambitious targets.
* Experience with Workday HR system is an advantage.
* Experience working in a matrix organisation preferred.
