About the Role:
We have an exciting permanent, full time, vacancy for an Events Coordinator to join our Mission team in Mitcham, Melbourne with flexible/hybrid working arrangements and HAY level 13 remuneration.
The Mission Events Coordinator supports Event Directors in planning and coordinating a range of events-from camps, meetings, seminars, webinars and conferences to large-scale conferences and special events. From initial brief to final activation, you'll ensure events run on strategy, on time, and on budget. You may support events across multiple divisions and, on occasion, assist national or local events as required.
Key Responsibilities:
* Lead the planning and design of in-person and online events; liaise with stakeholders to capture requirements
* Research venues, source suitable vendors, set timelines and budgets, identify risks, and manage milestones
* Organise all event details (venue, collateral, registrations, catering, entertainment, transportation, equipment, guest speakers)
* Ensure events are scoped and delivered within agreed timeframes and budgets; monitor progress and report to the Event Manager
* Serve as primary contact for external suppliers; ensure all materials, gift packs, and catering meet requirements
* Conduct risk assessments and obtain necessary insurance documentation
* Coordinate internal teams for graphics, IT, finance, and other support
* Deliver welcoming, professional experiences for attendees and secure positive stakeholder feedback
* Onsite Event Attendance / Post Event Activity / Admin etc
About You:
* Tertiary qualifications in Event Management or equivalent experience
* Minimum of 2 years coordinating events; experience with youth and children's ministry/events is desirable
* Knowledge of event operations, logistics, venue management, catering; ability to travel and work flexible hours, including after-hours, weekends, and holidays
* Advanced prioritisation, time management, and ability to manage high-demand environments with strong attention to detail
* Well-developed relationship-building and communication skills
* Excellent computer skills and familiarity with event management tools
