Administration Manager Role
This key role is responsible for providing confidential executive support to the CEO, managing diaries, communications, and travel.
Key Responsibilities:
* Provide confidential executive support to the CEO, managing diaries, communications, and travel
* Assist with preparation of reports, correspondence, and high-level presentations
* Coordinate meetings across local and international time zones, including with US-based stakeholders
* Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and professional communication
* Coordinate and make travel and logistics arrangements for the executive leadership team and visiting business delegates
* Assist in the planning of business events including conferences, roadshows, and off-sites
* Lead programs such as community engagement and social/cultural events
* Manage office infrastructure, supplies, and maintenance
* Proactively identify initiatives for continuous improvement
* Ensure a safe, efficient, and professional work environment
Requirements:
* Qualification in Business Administration or a related discipline
* Demonstrated experience in executive support, administration, office, and facilities management
* Proven track record of working closely with C-level executives and senior leadership
* Experience within organisations affiliated with or owned by international parent companies (especially US-based) is highly desirable
* Demonstrated ability to uphold strict confidentiality, with exceptional attention to detail, accuracy, and diligence
* Proven experience with strong people / interpersonal skills to foster and maintain highly engaging stakeholder relationships
* Proactive approach with a demonstrated ability to anticipate needs and provide efficient, solutions-focused support
* Demonstrated experience planning and organising logistics for various business events
* Experience managing and/or leading organisation wide programs desirable
* Strong written and verbal communication skills with the ability to articulate information effectively to audiences at various levels
* Proven ability to accurately prioritise and deliver timely outcomes in a fast-paced environment
* Superior organisation, time management, and multitasking capabilities
* Self-motivated with a high level of professionalism and the ability to manage composure
* Proficient in Microsoft Office and various business management systems
* A current driver's license and is open to travel locally as required
