About the Role


We are a growing trade services business seeking a highly organised Admin / Accounts / Compliance Officer to take ownership of our administrative, financial, and compliance functions.

This is a key role within the business, supporting management and operations by ensuring accounts, onboarding, compliance, fleet, and general administration run smoothly and efficiently.

You'll be working with modern systems, streamlined processes, and AI-assisted workflows to keep the business compliant, profitable, and well organised.


Key Responsibilities


Accounts & Finance

* Manage aged receivables and follow up outstanding invoices
* Daily accounts administration including invoicing and reconciliations
* Bookkeeping and data accuracy in Xero
* Assist with reporting and cash flow visibility

Compliance (Company & Client)

* Maintain company compliance including licences, insurances, inductions, and certifications
* Manage client compliance portals and documentation
* Ensure compliance requirements are met for commercial and residential clients
* Track renewal dates and ensure no lapses in compliance

Onboarding & HR Administration

* Coordinate onboarding of new staff and subcontractors
* Maintain employee records and documentation
* Assist with policies, procedures, and inductions

Fleet & Asset Management

* Manage company vehicles, registrations, servicing, and compliance
* Track fleet costs and documentation
* Coordinate vehicle onboarding and offboarding

General Administration

* Day-to-day office administration and support
* Manage workflows and jobs in Simpro
* Internal communication via Slack
* Document management using Google Workspace


Systems & Technology


You will be confident using (or willing to quickly learn):

* Simpro
* Xero
* Slack
* Google Workspace (Docs, Sheets, Drive, Calendar)
* AI tools (ChatGPT, automation tools, AI-assisted workflows)


About You

* Proven experience in administration, accounts, and compliance
* Strong understanding of aged receivables and bookkeeping principles
* Highly organised with excellent attention to detail
* Confident communicating with staff, clients, and suppliers
* Comfortable working independently and managing priorities
* Tech-savvy and open to using AI to improve efficiency
* Experience in a trade, construction, or services business is highly regarded
