We’re looking for an experienced Administration Officer/Accounts Payable person to join our small team in Bunbury. This position is perfect for someone who’s organised, proactive, able to meet deadlines and work within a team or with minimum supervision where required, have high attention to detail, and a methodical thorough process.
Role Purpose
The Administration Officer /Accounts Payable function plays a key role in keeping our office running smoothly. You’ll be responsible for managing day-to-day administrative & accounts payable operations and supporting the Bunbury & Kwinana office.
Key Responsibilities
- Answer phones, direct calls and assist customers accordingly. Take orders, account enquiries, payments and act as a first point of contact for phone calls and walk ins.
- Daily administration tasks.
- Customer invoicing and reconciling supplier invoices to match daily truck deliveries.
- Handle the process of Accounts Payable, from entering invoices, to reconciling statements and preparing payments as required.
- Internal communication with different departments for appropriate creditor invoice approvals.
- Ensuring correct general ledger coding for creditor invoicing.
- Communicating with our transport department with regarding truck delivery discrepancies etc.
- Daily management of the AP & administration email inbox.
- Investigate and resolve creditor invoice discrepancies and payment enquiries.
- Maintain confidentiality and professionalism in all dealings.
Skills & Experience
- Previous experience in an administration and accounts payable role.
- Strong organisational and time-management skills.
- High level of attention to detail and accuracy.
- Intermediate to advanced skill set for working with Microsoft Outlook, Teams and Excel.
- Transport industry experience will be looked upon favourably.
- Some understanding of stock movements and management would be preferable.
- Excellent written and verbal communication.
- Ability to manage competing priorities in a dynamic environment.
- Current Police Check or the willingness to obtain one.
- Willingness to learn new tasks as required.
