About the opportunity
The new Workplace Compliance team, in the broader Workplace Relations and Compliance unit, is responsible for providing high-quality technical advice, related to the University’s Enterprise Agreement, relevant workplace legislation and University policies (with a particular emphasis on payment and work allocation of staff). The team maintains strong relationships with key stakeholders and works with both professional and academic staff across the University to drive the prevention, early intervention and resolution of workplace compliance matters. Key priorities include the implementation and support of strategic compliance initiatives, proactive compliance monitoring and continuous improvement to ensure the University meets its compliance obligations.
The Workplace Compliance Assistant manages administrative support for the Workplace Compliance team, ensuring the delivery of efficient and effective administrative services with effective tracking and monitoring of related compliance activities. The incumbent will manage the creation and management of comprehensive documentation, developing and maintaining strong ties with internal stakeholders for aligned decision-making. They also ensure solutions devised integrate with existing systems and maintain high-quality standards.
The Workplace Compliance Assistant will ensure compliance with university standards, collaboratively support strategic workplace compliance and policy initiatives, and actively engage in the analysis, interpretation and implementation of Workplace policies related to compliance.
Your key responsibilities will be to:
* provide administrative services to the Workplace Compliance team, ensuring high-quality and efficient support across activities
* assist the Workplace Compliance Officer & Workplace Compliance Advisor with data gathering required for case management, including to support investigations
* manage and maintain the mailbox management, triaging emails and assigning to the correct staff member, ensuring timely responses and proper record keeping
* take ownership to maintain accurate records and documentation ensuring record management is up to date, confidential and secure
* provide accurate data, information, insights and requirements required to support work area reporting for University Executives, both written and verbal
* provide support to the Workplace Compliance Officer with the development of educational activities, enhancing the university's capabilities and understanding of workplace compliance and policies.
About you
* previous administrative experience in a tertiary organisation, working knowledge of academic institutions, structures and the higher education sector
* demonstrated evidence of adopting a positive approach to customer service, taking responsibility for follow up and ensuring that internal and external clients’ needs and expectations are met
* well-developed organisation, relationship building and influencing skills
* experience working in an environment with a key focus on accurate and robust record keeping in a complex regulatory and policy framework
* experience in coordinating documentation, planning, prioritising and managing high volumes of work .
