About the Opportunity
We’re seeking a detail-oriented and adaptable Administration & Personal Assistant to provide essential support to two busy executives within our boutique firm. This role is suited to someone who enjoys following structured processes, keeping things organised, and ensuring tasks are completed with accuracy and care.
Key Responsibilities
- Scheduling meetings and managing diaries efficiently across multiple stakeholders
- Formatting and proofreading documents and reports to a high standard
- Entering and updating information in our recruitment database accurately
- Preparing email templates and correspondence for clients and candidates
- Coordinating reference checks, background verifications, and testing
- Supporting advertising and marketing administration across campaigns
- Assisting with research tasks and maintaining organised records
- Coordinating travel arrangements and event logistics as required
- Providing personal assistance to the Managing Director, including managing emails, appointments, and professional bookings
- Coordinating domestic and international travel and accommodation
- Organising personal appointments and running day-to-day personal errands (a car is essential for this aspect of the role)
- Providing general lifestyle assistance to help balance business and personal commitments
- Providing ongoing administrative support to two busy executives
About You
We’re looking for someone with robust organisational skills and a flexible approach, who enjoys variety and takes pride in getting things done. You’ll bring:
- Previous experience in an administrative or personal assistant role (recruitment, legal, or professional services background desirable)
- Proficiency in Microsoft Word and Outlook, with confidence using shared drives and databases
- Excellent written and verbal communication skills
- Strong attention to detail and a methodical approach to tasks
- Professionalism, discretion, and reliability in handling confidential information
- A team-oriented mindset, with the ability to adapt as priorities shift day-to-day
- A positive outlook and willingness to contribute to a fun, supportive workplace
- A car, laptop, and mobile phone
What We Offer
- Suitable for someone working 28 hours per week, spread over 5 days
- Hybrid working arrangements with a mix of office and work-from-home
- Salary up to $63,000 including super (for 28 hours per week)
