We are seeking a highly organised and proactive Legal Secretary to join our dynamic Property and Commercial team. This is a diverse and hands-on role supporting our lawyers across a range of commercial and property matters. The ideal candidate will have prior legal secretarial experience and strong administrative skills, with the added advantage of fluency in Portuguese to assist with international or Portuguese-speaking clients.
Key Responsibilities:
* Provide high-level administrative and secretarial support to property and commercial lawyers
* Draft and prepare correspondence, contracts, and legal documents
* Open, maintain and close client files in accordance with firm procedures
* Liaise with clients, agents, and external stakeholders, including Portuguese-speaking clients
* Conduct property searches, lodge documents with relevant authorities (Queensland Titles Office and Queensland Revenue Office, and assist with settlements
* Process invoices and manage monthly billing
* Maintain confidentiality and ensure accurate and timely document management
Requirements:
* Minimum 2 years' experience in a legal role, preferably in property or commercial law
* Strong attention to detail, time management, and communication skills
* Proficiency in Microsoft Office Suite and legal practice management systems (preferably Leap)
* Ability to work independently and collaboratively in a fast-paced environment
* Fluency in Portuguese (spoken and written) is highly desirable but not essential
* Professional, client-focused, and able to manage competing priorities with discretion
