Primary objective
Under the direction of the Administration Manager, the position is responsible for performing a variety of administrative
tasks for the Araluen Cultural Precinct.
Key duties and responsibilities
1. Operate the records management system (TRIM/HPRM) following NT Government records management policy to ensure
filing and documentation of records is carried out in an accurate and timely manner.
2. Prepare approval of invoices for accounts payable and the use of a NT Government Credit Card.
3. Provide an administrative support service to the Director and officers within the Araluen Cultural Precinct including
providing reports from NT Government financial and human resource systems, collating statistics, updating the telephone
list, maintaining stationery stocks, maintaining office equipment and supplies, processing incoming and outgoing mail and
all other duties as directed.
1. Provide Information Officer and Box Office relief, as required, including operating the computerised event, ticketing and
retail management systems.
1. Arrange staff travel including the management of Cabcharge records.
2. Assist with the set-up of meetings and take minutes of meetings as required.
3. Assist with marketing activities such as electronic mail outs and postal mail outs.
4. Successfully manage Witchetty's bookings and contracts to ensure all obligations are fulfilled including timely contract
preparation and completion, client adherence to the terms and conditions of hire, provision of client public liability cover,
and preparation of financial details for event estimates and settlements.
Selection criteria
Essential
1. Excellent communication skills with an ability to interact effectively in a team environment.
2. Demonstrated understanding of the principles of financial transactions and procurement.
3. Well-developed literacy and numeracy skills with proven ability to prepare written correspondence, collate data, check
documentation for accuracy, and interpret routine financial and administrative information.
4. Ability to engage with clients and visitors in a professional, helpful and culturally respectful manner, supporting inclusive
service delivery within a diverse community environment
5. Substantial experience and accuracy in the operation of Windows-based computer applications, especially Word, Excel
and Outlook (or similar).
6. Ability to quickly acquire new skills, manage competing priorities and prioritise workload.
7. Experience within the NT Government financial and HR systems (BOXI) or similar reporting system.
Desirable
1. Experience in the use of the records management system within the NT Government (TRIM/HPRM) or similar and
demonstrated identified skills in records management.
