Are you organised, systems-savvy, and experienced in the behind-the-scenes operations that keep a workshop humming? We're on the lookout for a proactive and detail-focused Admin & Accounts Coordinator to support our growing team servicing heavy vehicles, trucks, and elevated work platforms (EWPs).
About the Role:
You'll manage workshop administration, coordinate accounts, and help streamline our service and job tracking processes using Odoo (or similar ERP systems). You'll also play a key role in onboarding and training team members in digital processes — including how to use computer systems for vehicle servicing records, maintenance history, job card management, and compliance documentation.
Key Responsibilities:
* Administer day-to-day workshop operations, including scheduling, job tracking, quoting, and customer communication
* Oversee accounts duties: invoicing, supplier management, reconciliations, job costing
* Maintain and improve ERP/workshop management systems (ideally Odoo)
* Ensure correct use of computer systems for vehicle service history, job cards, and maintenance tracking
* Train technicians and staff in using digital systems and ensure process adherence
* Monitor workflows for accuracy and efficiency across servicing jobs
* Assist with procurement and inventory record management
What We're Looking For:
* Solid experience in admin and accounts in a mechanical or service-based environment
* Strong working knowledge of ERP and workshop management software (Odoo or similar)
* Confident with vehicle servicing systems – understanding how service records, job cards, inspections, and compliance documents are logged and managed
* A systems and process thinker who can spot inefficiencies and implement improvements
* Strong communication and training skills – comfortable guiding workshop staff through systems and protocols
* Excellent time management and attention to detail
Skills:
* Background in heavy vehicle, truck, or EWP servicing
* Familiarity with digital maintenance schedules and service tracking systems
* Bookkeeping or finance-related qualifications
* Experience setting up or optimising ERP/workshop systems
