Sydney Asset Management Contract or Temporary A leading global Asset Manager is seeking an experienced Executive Assistant for an initial 12-month contract with view to extend and or potentially go permanent. The ideal candidate will have over 6 years EA experience from financial services or similar professional services firms, along with strong communication skills. They would prefer EA’s with extensive experience in managing high volume travel arrangements and coordinating complex external/internal schedules for team of 8. We need candidates that have closely supported a team of people of all ranks, not only 2-3 senior or just part of general assistants team This role will be based in the Sydney office 5 days a week. Key responsibilities: Extensive, complex diary management, including coordination of internal and external meetings, calls, video conferences. Maintain team diaries and contacts Telephone answering is a priority & accurate and prompt messages and assistance Travel & book flights and accommodation for team, including knowledge and awareness of the whereabouts of bankers, relevant client activities and travel policy guidelines Expenses & accurately complete expense reports for team of bankers each month Assisting bankers and general administration tasks, source and collate research information, news runs and project materials as required. Coordinate couriers and outgoing mail, distribute incoming mail General administration, including document production (Word) when required; ad hoc project work Client entertainment & organize ad hoc lunches, dinners; work with Events Manager and bankers to invite clients to events Actively foster a cohesive work environment within the EA team; working effectively with other EAs to ensure support cover during lunch hours and other absences Build and maintain relationships with staff in offshore offices ​​​​​​ Experience : Excellent written and verbal communication skills Prior Investment banking or financial services EA / PA/ TA experience Experience in providing support and senior levels of an organisation Able to manage priorities and conflicting issues in a professional manner Proficient in Microsoft Office Programs Extensive experience in admin in a fast paced environment The ideal candidate will have a 6 years of prior EA experience ideally from similar financial services or professional services firms
