Executive Support Specialist
This is a highly skilled role that requires someone to provide high-level administrative support to the Chief Financial Officer (CFO). The Executive Assistant will work closely with the CFO to manage their day-to-day operations, including telephone, calendar, travel and e-mail.
The role involves coordinating section activities, planning and organizing meetings, preparing correspondences, collating and disseminating agenda and papers, arranging travel, taking minutes, and monitoring follow-up actions. The Executive Assistant will also assist the CFO in preparing presentations for meetings involving Executive Management, Judges and staff, as well as collation of information and data for newsletters and reporting dashboards.
In addition, the role involves investigating and managing expense reporting for the section, providing miscellaneous administrative support to the CFO in the performance and recording of special project work, undertaking minor research tasks, and preparing routine correspondence, response and reports.
Maintaining, reviewing and updating general administrative systems and procedures are also key responsibilities of this role. Acting as point of contact for the Branch intranet page and other duties as directed are also included in this job description.
Reporting and Compliance
Coordinate the preparation and distribution of routine reports and meeting agendas and disseminate copies to the relevant stakeholders. Assist in the preparation of input to the Annual Report and the Corporate Plan and Budget. Other duties as directed.
Audit Committee Secretariate
Assist the CFO and the Risk & Audit Advisor in preparing routine correspondence, response and reports. Assist in drafting meeting agendas, chasing up papers for distribution, and preparing and collating papers for pre meeting review. Draft final meeting agenda, prepare and distribute papers. Record minutes of meetings. Prepare minutes of meetings for review, circulate for feedback and finalisation.

This is a busy role that requires someone who can organize their daily workload and manage priorities in order to meet deadlines within strict time constraints. It also requires someone who can work autonomously, demonstrate initiative, flexibility and sound judgement to perform successfully in this role. The ability to work in an environment which requires tact and discretion is essential due to the confidential and complex nature of the work undertaken by the CFO.
This role works across a varied and geographically dispersed team, so it requires someone who is a team player and able to work collaboratively with managers and staff across the Finance Branch and Corporate Services to achieve results. The ideal candidate will have strong experience in providing high level administrative support services and possess excellent organizational skills, initiative and flexibility to manage workload and perform under pressure.
Requirements

* Demonstrated ability to build and maintain positive and productive working relationships with a variety of stakeholders, including senior staff.
* Well-developed oral and written communication skills, including proven ability to communicate effectively with stakeholders at all levels and prepare professional business documents.
* Proven ability to exercise good judgment and maintain high-level professionalism and discretion in handling confidential information.
* Well-developed skills in using office-based software, financial accounting and other systems.
Benefits
