Role Overview
As an Operations Coordinator within the ADF Health Services Contract (AHSC) team, you'll provide critical administrative and coordination support to drive performance to the VIC/TAS Region. You'll ensure smooth workforce operations by contributing to the optimisation of rosters, compliance, and reporting, whilst bringing strong administrative skills and a confident, professional manner to your daily work. This role has two focuses: coordinating the workforce and liaising with key stakeholders in your local region, whilst also working as part of the National team servicing the AHSC support line that operates Monday – Sunday from 5am - 10pm.
Working Hours & Roster Pattern
Roster Cycle: You will work each of the below shift types for a week, on a 3-week rotating schedule.
Possible Daily Start Times
* 5:00 am – 1:00 pm
* 8:00 am – 4:00 pm / 9:00 am – 5:00 pm
* 1:00 pm – 9:00 pm / 2:00 pm – 10:00 pm
Weekend Work
* One week out of every six, you will be rostered on for the weekend: Friday of that week will be your rostered day off
* You will be on call Saturday and work Sunday 12:00 – 8:00 pm OR work 9:00 am – 5:00 pm on Saturday and be on call Sunday
* On call times: Saturday 5–9am and then again 5–10pm. Sunday 5am–12pm and then again 8–10pm.
Responsibilities
* Managing unplanned leave absences and shift backfill.
* Overseeing the health workforce, including maintaining accurate staff listings.
* Facilitating leave approvals and contract changes.
* Processing locum assignments and coordinate travel/accommodation bookings.
* Coordinating recruitment, onboarding, and offboarding processes for staff.
* Ensuring compliance with mandatory training and readiness requirements.
* Collaborating with payroll to resolve roster-related queries and ensure accuracy.
* Preparing regular and ad hoc reports for internal and client use.
* Supporting the regional leadership team to optimise rosters and manage workforce needs.
Qualifications
* Australian Citizenship due to clearance requirements.
* Strong attention to detail and exceptional data management skills.
* Excellent organisational skills with the ability to manage competing priorities.
* Strong administrative capability and a confident, professional manner.
* Proficiency in MS Office, with solid Excel skills, and familiarity with tools like Power BI.
* Strong interpersonal and communication skills to build relationships with staff and stakeholders.
* Previous administrative experience, ideally in a 24/7 operational environment.
* Experience in clinical and/or defence environments (highly regarded).
