Job Summary
We have an exciting opportunity for an experienced Medical Receptionist or Secretary to join a well‐established Orthopaedic practice based on Brisbane's Northside. The multidisciplinary team includes 10 Orthopaedic Surgeons, Hand Therapists, Physiotherapists, Clinical Nurses, and a Podiatrist. In this role you will provide dedicated support to one Surgeon, managing clinic coordination and theatre bookings.
Working within a collaborative Administration team supported by fellow Secretaries, Administrators, Medicolegal staff, and Typists. Your primary focus will be one Surgeon, but the team works cohesively to ensure smooth clinic operations and timely management of correspondence, particularly during periods of leave. This is a fast‐paced and dynamic environment that requires close collaboration with your Surgeon and the wider team. Previous experience in a surgical specialist setting is highly regarded but not essential, as full training will be provided.
The role is offered on a permanent, full‐time basis (Monday to Friday, 38 hours per week). Standard hours are 8:30 am–5:00 pm Monday–Thursday and 8:30 am–4:00 pm on Fridays. In addition, there is one rostered early finish at 4:00 pm during the week, shared across the Administration team to maintain a 38‐hour working week.
Key Duties and Responsibilities
* Taking incoming telephone calls and assisting patients with general enquiries
* Clinical bookings, confirming patient appointments and managing cancellations and rescheduled appointments
* Preparing and running day‐to‐day clinics, meeting and greeting patients visiting the practice, arriving patients, and ensuring all relevant and appropriate information is prepared ahead of their appointment using STAT Health software
* Processing patient billing and receipting
* Managing and triaging referrals
* Booking patient x‐rays and scans
* Preparing quotes for theatre procedures, booking theatre procedures and preparing patients with the relevant theatre packs, liaising with hospitals and anaesthetists, and booking theatre equipment/instruments
* Managing incoming and outgoing correspondence with patients, medical professionals and ancillary services in a timely manner
* General secretarial and administrative support to the specialist as required
Candidate Qualifications
* Previous experience working within a private specialist practice
* Sound knowledge and understanding of the Medicare, WorkCover and Private Health fund billing systems
* Previous experience using a medical software platform such as STAT Health, Genie and/or Xestro
* A warm personality to greet patients with professional, clear communication and a polite articulate manner
* Immaculate personal presentation, strong interpersonal and communication skills
* Proficient computer skills, with confidence using the Microsoft Office Suite – Word, Excel and Outlook etc.
* General understanding of medical terminology and the importance of privacy and confidentiality
* The ability to work well within a multidisciplinary team environment as well as working autonomously
* Strong organisation and time management skills
Remuneration
Competitive hourly rate of $38–$41 per hour plus superannuation, negotiable based on the successful candidate's experience. The practice will provide uniforms and secure undercover car parking at St Vincent's Private Hospital Northside.
