The Opportunity Reporting to the Team Leader – Commercial Training, the Rostering Coordinator is responsible for the end-to-end coordination of trainers and resources. This 12-month fixed-term job requires a proactive approach to scheduling, venue management, and administrative compliance. You will act as the central point of contact for trainers, ensuring they are appropriately supported and equipped to deliver high-quality training courses across the state. This role requires a balance of analytical problem-solving and strong relationship-building skills to manage a dynamic schedule while minimising operational costs and meeting strict contractual requirements. What You'll Be Doing Scheduling & Planning Rostering Excellence: Managing trainer rosters to ensure all scheduled courses are appropriately staffed while minimising planned overtime and meeting contractual obligations. Logistics Coordination: Booking and confirming training venues, arranging travel and accommodation for trainers, and organising the movement of equipment to various regional locations. Strategic Growth: Contributing to the development of the Commercial Training Schedule and identifying gaps in training offerings to recommend areas for trainer development. Trainer Support & Onboarding Primary Point of Contact: Acting as the first point of contact for trainer enquiries, including absence notifications and roster changes, and participating in an out-of-hours contact roster. Induction & Development: Coordinating the induction process for new trainers and scheduling professional development sessions and regular team communication channels. Workforce Administration: Processing and approving trainer timesheets and leave requests as directed. Training Administration & Compliance Quality Assurance: Digitising training documentation and following rigorous compliance checklists to ensure Registered Training Organisation (RTO) standards are maintained. Resource Management: Maintaining equipment registers and developing maintenance schedules for training assets and storerooms. Financial Stewardship: Contributing to budget management by ensuring training activities remain within financial constraints and assisting with trainer expense reconciliations. What You'll Bring Proven Experience: A strong background in staff rostering and the scheduling of training courses or similar complex logistical operations. Technical Proficiency: Working knowledge of the Microsoft Office suite is essential. Experience with Salesforce and rostering applications such as ConnectTeam will be highly regarded. Communication & Influence: The ability to effectively influence others and build strong relationships with both internal and external stakeholders. Analytical Mindset: Excellent problem-solving skills and the ability to work accurately within tight timeframes. Sector Understanding: An understanding of the dynamics of charitable or Not-for-Profit organisations is desirable. Essential Requirements Compliance: You must hold (or be willing to obtain) a National Police Certificate and a current Working with Children Check (WWCC) acceptable to St John SA. First Aid: A minimum 'Provide First Aid' certificate (or willingness to obtain). Licensing: A current Australian Driver’s License. Flexibility: A willingness to undertake out-of-hours on-call work for roster management and occasional travel within the state.
