What’s the role all about Are you a pro-active and passionate Business Support Officer looking to provide the successful delivery of various support functions to the Transport team in ensuring our community is healthier because it has safe, connected and convenient active transport choices. The Transport team sits within the City Planning and Sustainability Department which guides the growth and change of Port Phillip as a liveable, attractive and sustainable city that is resilient to climate change and is well-connected; making it easy and safe for people to move around, to enhance social and physical connections. 1 x full-time 6 month fixed-term opportunity What you might do Assist the Transport department with payment of invoices, raising requisitions, credit card management and general financial support. Champion and provide administrative support and education for the department on procurement activities. Provide administration support to Project Control Groups and key meetings such as the Transport PCG and the Transport Lead Team Meeting. Monitor, triage and coordinate responses to OneCouncil Customer Requests, Councillor Requests and Complaints ensuring that all requests are updated satisfactorily and in a timely manner. Undertake tasks including but not limited to recruitment support, records management, departmental event coordination, and diary and email management as required. Actively contribute to the wider Divisional Business Support Team through information sharing, process improvement and supporting divisional/organisational projects as required. Who we are looking for Experience in senior professional support/business administration, including business and office practices and procedures High level interpersonal and communication skills including a demonstrated ability to maintain confidentiality and deal with issues in a professional and timely manner. Demonstrated ability to provide exceptional customer service to both internal and external customers. Proficiency in the use of MS Office software applications, data management and financial systems along with ability to use initiative in developing new procedures and work practices that facilitate the efficient running of an office.
