About the role
As an Administration Officer you will serve as the central point of coordination and communication for the Aged Care Services portfolio, ensuring smooth flow of information and support across the service. On a typical day you will manage incoming communications and liaise with a broad range of stakeholders, provide high‐level administrative support to the Nurse Manager and broader team, and fulfil data entry and management duties across multiple systems.
Key responsibilities
* Manage incoming communications (phone calls, emails, correspondence) and triage, prioritise and action matters.
* Maintain professional, discreet and confidential interactions with patients, families, clinicians, GPs and external providers.
* Provide diary and email management, coordinate meetings, prepare agendas and minutes, and monitor actions and deadlines.
* Assist with report preparation, correspondence drafting and documentation delivery.
* Enter and manage data across HealthRoster, CHIME, IPM, CAP and Microsoft 365 platforms (Teams, OneNote), ensuring data integrity.
* Generate reports and support effective record‐management processes.
* Balance routine administrative tasks with complex coordination activities such as rostering support, invoicing, procurement and service–delivery support.
* Respond to changing priorities in a fast‐paced environment while maintaining organisational skills, initiative, flexibility and attention to detail.
Qualifications & requirements
* Highly organised and proactive professional with strong administrative and organisational skills.
* Excellent communication skills, capable of engaging professionally with diverse stakeholders.
* Ability to manage confidential and sensitive information with discretion.
* Strong time‐management and prioritisation skills, consistently meeting deadlines.
* Exceptional attention to detail in data entry, documentation and reporting.
* Flexible and adaptable, able to work independently and collaboratively.
* Experience in a healthcare or aged‐care setting is highly regarded but not essential.
* Familiarity with NSW Health systems such as HealthRoster, CHIME, IPM, CAP and data‐management processes is desirable.
* Understanding of aged‐care/dementia services and commitment to patient‐centred care is desirable.
* Current NSW Driver's Licence and ability to travel for work purposes.
* Australian Citizen, permanent resident of Australia, New Zealand citizen with a current NZ Passport, or an appropriate visa that allows living and working in Australia. (Visa sponsorship not available.)
