Position Overview
The Administration & Bookkeeping Officer provides vital support to the business by managing day‑to‑day administration, financial record‑keeping, and project coordination tasks. This role ensures the smooth operation of the office and supports project delivery, financial compliance, and client communication.
Additional training will be provided in company‑specific systems, including estimating software, Xero accounting, and homeowner warranty submissions and contract lodgments.
Key Responsibilities
Administration
- Manage emails, phone calls, and general correspondence.
- Prepare and maintain project files, quotes, and documentation.
- Create purchase orders, invoices, and subcontractor agreements.
- Assist with scheduling jobs, deliveries, and subcontractors.
- Order office and site supplies, maintain stock records.
- Ensure compliance paperwork, insurances, and licences are current.
Bookkeeping
- Record daily transactions, payments, and receipts in Xero.
- Reconcile bank accounts and credit cards.
- Process accounts payable and receivable.
- Track and follow up overdue invoices.
- Assist with preparation and submission of BAS/GST statements.
- Manage petty cash and employee reimbursements.
- Maintain job costing and financial tracking for each project.
Payroll
- Process weekly payroll accurately and on time.
- Maintain timesheets and employee leave records.
- Manage superannuation and tax withholdings.
Compliance & Project Support
- Assist in the preparation and lodgment of Home Owner Warranty Insurance and building contracts.
- Maintain compliance documentation for all active projects.
- Support the Director with project‑related admin and reporting.
Training & Development
- Participate in ongoing training for company estimating and project management software, Xero accounting system, and homeowner warranty submissions and contract lodgments.
- Stay updated with industry and compliance requirements.
Skills & Attributes
- Previous experience in construction administration or bookkeeping preferred.
- Robust understanding of accounts payable/receivable and basic accounting principles.
- Competent in Xero or similar accounting software.
- Excellent attention to detail, accuracy, and data management.
- Highly organized with the ability to prioritize multiple tasks.
- Confident communicator with professional phone and email etiquette.
- Proactive, reliable, and able to work independently.
- Strong problem‑solving and time‑management abilities.
- Willingness to learn new systems and take initiative.
Employment Details
- Position type: Part‑time
- Hours: 15–30 hours per week (flexible schedule by agreement, with workload continuing to grow over the next 6 to 12 months with a full‑time role possible)
