Title : Administrator / Service Controller - Printers and Copiers

Stock purchasing and order management
* Enter stock purchase orders accurately into the system
* Receive stock orders and check quantities, part numbers, and pricing against paperwork
* Track supplier orders from placement to delivery (ETAs, backorders, freight tracking)
* Liaise with suppliers to resolve shortages, incorrect deliveries, damages, credits/returns, and warranty matters
* Maintain up-to-date supplier contacts, pricing, and product availability info
Consumables & toner ordering
* Place consumable and toner orders for customers and internal stock replenishment
* Monitor consumable stock levels and maintain agreed minimum/maximum stock holdings
Inventory control
* Maintain accurate inventory records and ensure stock movements are recorded correctly
* Conduct stocktakes and investigate/resolve variances to keep inventory accurate
Meter readings & billing support
* Contact customers to request meter readings within required billing timeframes
* Enter meter readings into the database accurately and consistently
* Follow up remote offices/sites to ensure readings are provided by cut-off dates
* Validate unusual readings and correct errors before billing (where required)
* Compile meter readings and assist with monthly/periodic invoicing to customers
Invoicing & customer purchase orders
* Assist departments and sales with invoice preparation, references, and supporting documentation
* Enter and process customer purchase orders and ensure correct job/customer allocations
Customer service & job ticketing
* Answer customer calls for service and consumable requests in a professional manner
* Log new service jobs/tickets with clear fault descriptions and correct site/contact details
* Actively monitor open jobs and follow up to ensure work is completed and closed out
* Provide customers with updates on job progress, parts ETAs, and scheduling changes
* Allocate field and workshop technicians based on priority, location, skills, and availability
* Coordinate technician schedules, site access requirements, and booking confirmations
* Ensure job notes and outcomes are captured accurately to support service history and billing
Admin & support
* Assist the Managing Director with reporting, filing, dictation, and other ad-hoc tasks as required
