Remote Clinic Visit Coordinator

The Role

The Remote Clinic Visits Coordinator is responsible for coordinating, scheduling, and supporting clinic visits conducted with pharmacists across our contracted clinics in Australia. This role acts as a key liaison between the organisation's pharmacies and contracted clinics, ensuring clinic visits and audit activities are well planned, compliant, and efficiently executed.

The role requires strong organisational and communication skills, the ability to work autonomously in a remote environment, and flexibility to support travel and on-site clinic activities when required.

Key Responsibilities

· Coordinate and attend clinic visits alongside a pharmacist, as required.

· Support pharmacists during clinic visits by assisting with logistics, documentation, and on-site coordination.

· Ensure clinic visits are conducted in line with internal policies, contractual obligations, and relevant Australian healthcare standards.

· Build and maintain effective working relationships with clinic staff and pharmacists.

· Communicate visit requirements, expectations, timelines, and follow-up actions clearly and professionally.

Scheduling & Planning

· Plan, coordinate, and manage clinic visit schedules across multiple locations.

· Manage schedule changes, cancellations, or urgent visit requirements as they arise.

· Assist with booking flights, accommodation, and related travel arrangements for clinic visits when required.

· Prepare and collate all relevant materials required for clinic visit audits.

· Ensure audit documentation is accurate, complete, and available prior to each visit.

· Assist with post-visit documentation, reporting, and follow-up actions.

Skills & Experience

Essential

· Proven experience in coordination, administration, or scheduling roles.

· Strong organisational skills with high attention to detail.

· Excellent written and verbal communication skills.

· Ability to liaise professionally with multiple stakeholders.

· Proficiency in Microsoft Office

· Ability to work independently in a remote environment.

· Current Australian driver's license.

· Ability and willingness to travel on small charter aircraft to access remote clinic locations

Desirable

· Experience in healthcare, pharmacy, or clinical settings.

· Familiarity with audit preparation, compliance, or quality assurance processes.

· Experience coordinating travel and accommodation.

· Understanding of pharmacy or clinic operations within Australia.

· 4WD training and experience, or willingness to obtain 4WD training.
