About the organisation
Pika Wiya Health Service Aboriginal Corporation is an exciting Aboriginal Community Controlled Health Service which offers comprehensive primary health, social support and training services to Aboriginal people in Port Augusta, with Clinics located at Dartmouth Street in Port Augusta, Davenport, Copley and Nepabunna communities and provides services to other areas within our catchment area. Our health service provides a culturally appropriate preventative and curative health service to all Aboriginal and Torres Strait Islander people.
Purpose of the role
The successful applicant will be a courteous, professional and well-groomed first line of contact with clients, business people and government agencies either personally or by telephone.
The applicant will be responsible for the provision of:
* Efficient and accurate typing of all letters/reports/client data.
* Maintaining an efficient and effective statistical data collection system.
* An efficient and effective dissemination of incoming and outgoing correspondence.
* An accurate and timely processing of Practice Incentive Payment (PIP) Consent forms.
* Maintenance of all office machinery located within the reception area by initiating contact with appropriate agency(ies) via requisition.
* Ensuring supplies utilised within reception area(s) are maintained at appropriate stock levels.
* Ensuring that the reception area is maintained in a clean and orderly condition at all times.
The Clinical Receptionist reports to and is supervised by the Office Practice Manager and works closely with all medical/program personnel with priority given to Medical Officers.

Key Outcomes and Associated Activities
* Confidentiality and cultural responsiveness – Maintain strict confidentiality across all operations; attend Cultural Safety Training and communicate effectively with Aboriginal clients from diverse cultural backgrounds.
* Client services and appointment coordination – Provide courteous reception services, schedule medical and specialist appointments, assist clients with Patient Assistance Transport Scheme (PATS), and refer to appropriate staff.
* Health Records Management – Ensure all medical data is scanned and filed daily in Communicare, and urgent paperwork is processed the same day.
* Typing and documentation support – Deliver accurate and timely typing/word processing for medical and program staff, ensuring correct filing and data storage.
* Medicare and mail processing – Collect, collate, and forward Medicare forms daily; manage internal mail with accurate recording, dispatch, and distribution.
* Operational Support and WHS Compliance – Maintain reception area and office resources (stationery, machinery); participate in Continuous Quality Improvement, performance reviews, and comply with Work Health and Safety requirements.

Education/Qualifications
* Year 11
Experience
* Ensure that the utmost confidentiality is maintained in all aspects associated with and relevant to the operations of the Organisation as a whole, and the delivery of services to its clients.
* Provision of a courteous, efficient and effective customer contact service, both in person and by telephone.
* Understanding of and demonstrate an effective and efficient method of communication with Aboriginal people from differing cultural backgrounds.
Knowledge
* Reception, telephone and office procedures.
Personal Skills/Abilities
* Ability to work with communicate and engage with Aboriginal people from diverse backgrounds and language groups,
* Ability to type accurately and use Microsoft applications and other databases.
* Proven ability to maintain confidentiality and patient information at all times.
* An understanding and the ability to use varying office computer programs/systems.
