DP World is seeking a highly organised IT Administration Coordinator to provide essential administrative support to our IT team across DP World Oceania. This role focuses on coordinating day-to-day activities, including managing purchase orders, processing invoices, tracking IT spend, supporting vendor coordination, and maintaining records for software licensing and telecommunications.
Working closely with IT, Finance, and Procurement, you'll help ensure smooth operations, accurate documentation, and efficient administrative processes, enabling the IT team to stay focused on service delivery and projects.
Key Responsibilities
* Support tracking of Technology budgets (OPEX/CAPEX), including invoice validation and cost allocation
* Support the day-to-day management of purchase orders, vendor invoices, and recurring payments
* Keep software licence and subscription records up to date, including renewals and compliance
* Maintain IT asset registers and assist with audits and tracking assets through their lifecycle
* Coordinate vendor documents, keeping track of contracts, key dates, and renewal timelines
* Validate vendor invoices against contracts and agreed pricing.
Qualifications, Experience and Skills
* Relevant qualification in Business Administration, Finance, Information Systems, Accounting, or a related field (desirable)
* Experience or training in financial administration, procurement, or contract coordination is an advantage
* Familiarity with ERP systems (e.g. Oracle, SAP) and strong Excel skills for tracking and reporting
* Good understanding of administrative processes, with strong organisation and attention to detail
* Ability to manage multiple tasks, trackers, and deadlines in a structured way
* 3–5 years' experience in an administrative, finance support, procurement, or vendor coordination role
* Hands‐on experience managing invoices, purchase orders, and budget tracking
* Exposure to software licensing, subscriptions, or telecom billing is beneficial
* Comfortable working with cross‐functional teams such as IT, Finance, Procurement, and vendors
* Experience working in structured environments with clear processes, approvals, and compliance requirements
