Capability Health is a growing allied and occupational health business delivering myotherapy, pre-employment medicals (PEMs), and occupational health services across Cairns, Gove, and regional Queensland.
We work closely with employers, nurses, and doctors to deliver efficient, professional, and compliant health assessments, helping organisations create safer and more effective workplaces.
About the Role
We are seeking a Medical Receptionist to support both our clinic operations and our pre-employment medical (PEM) services.
This is a key role within our business and is ideal for someone who is organised, proactive, and thrives in a fast-paced medical environment. You will be the first point of contact for clients, candidates, and employers, and play a central role in coordinating occupational health medicals from start to finish — across both clinic and remote locations.
Key Duties
* Managing incoming calls, emails, and enquiries in a professional and welcoming manner
* Booking and coordinating clinic appointments and pre-employment medicals (PEMs)
* Liaising with employers, candidates, nurses, and doctors to ensure medicals run smoothly
* Issuing, tracking, and following up PEM paperwork and documentation
* Supporting nursing staff with candidate confirmations and pre-appointment preparation
* Maintaining accurate, confidential, and up-to-date records
* Assisting with invoicing, billing, and account follow-up related to PEM services
* Clearly communicating cancellation and rescheduling policies
* Supporting clinic operations across Cairns and remote locations, including Gove
About You
You're an organised and confident administrator who enjoys working in healthcare and supporting both patients and clinicians. You take pride in accuracy, clear communication, and creating a positive first impression.
Ideally, you will bring:
* Experience in medical reception, administration, or a similar role
* Strong organisational skills and excellent attention to detail
* A friendly, professional, and confident communication style
* Confidence using medical software and digital systems
* The ability to prioritise tasks and manage competing deadlines, particularly during busy PEM periods
* A solid understanding of confidentiality and privacy requirements in a healthcare setting
