Responsibilities
Manage daily office administration duties, including answering phones with a professional and friendly manner.
Utilize Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) to a high standard for reporting, correspondence, and scheduling.
Perform timely and highly accurate data entry into company systems.
2. Operations & Inventory Management
Coordinate inventory levels and manage the receipt of stock arrivals to the branch.
Ensure stock is receipted correctly in the system and discrepancies are reported immediately.
Assist in maintaining a clean and organized office and storage environment.
Perform debtor follow-ups (Accounts Receivable), contacting clients regarding outstanding invoices in a professional manner.
Assist with payroll processing.
Note: Prior experience is an advantage, but we are willing to train the right candidate who possesses a strong aptitude for numbers and confidentiality.
4. Training & Human Resources Support
Coordinate training schedules for employees to ensure compliance and skill development.
Assist in the writing, formatting, and updating of training documentation in our internal systems.
Support the onboarding process for new starters as required.
5. Client Relations & Conflict Resolution
Act as the face of the company for incoming inquiries.
Utilize strong emotional intelligence to handle conflict and aggression resolution, de-escalating difficult situations with customers or stakeholders calmly and professionally.
Key Selection Criteria
Communication: Excellent written and verbal communication skills are non-negotiable.
Technology: Advanced proficiency in Microsoft Office and the ability to learn new proprietary software quickly.
Multitasking: Proven ability to prioritize conflicting deadlines in a fast-paced environment without compromising accuracy.
Resilience: Demonstrated ability to remain calm under pressure and handle difficult conversations (conflict resolution).
Adaptability: A genuine willingness to learn other areas of the business and assist different departments as required.
Experience
Previous experience in an office administration or operations role.
Experience with stock/inventory management systems is highly regarded.
Payroll experience is preferred, however, we will provide training for a candidate with the right attitude and willingness to learn.
