About the Role
An opportunity exists for a highly organised and motivated Administration Officer to provide efficient reception and administrative support to Outpatient Clinics. Casual, part-time and full-time opportunities are available, offering flexibility to suit a range of applicants.
This role is critical in ensuring smooth clinic operations, high-quality patient service, and accurate management of clinical and corporate information systems. You will work closely with clinicians, nurses, midwives and administrative colleagues in a fast-paced, multidisciplinary environment, exercising sound judgement, initiative and discretion.
Some key Responsibilities
* Manage patient information and billing accurately and efficiently using HBCIS, IeMR, ESM and other corporate information systems, including appointment bookings, arrivals and departures, and medical records management.
* Maintain referrals for all clinic specialists, including appointment coordination, waiting list management, audits and monitoring of KPIs.
* Provide clear advice to clients regarding billing processes for chargeable patients.
* Deliver high-quality reception and administrative support by prioritising workloads and resolving issues where procedures may not be clearly defined.
* Ensure appointments are scheduled, confirmed and communicated to clients in a timely manner.
* Communicate effectively with clients and staff, demonstrating sensitivity, diplomacy and professionalism in all interactions.
* Work autonomously and collaboratively as a productive team member within a multidisciplinary environment.
* Contribute to the development, implementation and review of internal systems, processes and work practices, identifying opportunities for continuous improvement.
* Comply with relevant policies, procedures, legislation and standards, including workplace health and safety, equal employment opportunity and anti-discrimination requirements.
About You
You will have strong administrative skills, excellent attention to detail, and the ability to manage competing priorities in a busy clinical setting. Experience in healthcare administration and familiarity with hospital information systems will be highly regarded.
