SERVICES COORDINATOR
Our client is a global manufacturer of technology products used all over the world, with own sales and service companies directly on location where their customers are based. This rare opportunity has arisen for a Services Coordinator to join the Perth based service team.
Role Synopsis
Supply support to a key customer and the Service department of WA in the form of stores / warehousing, administration, customer service, coordination of customer equipment and product technical service to ensure the department's opportunities are maximised, coordinated, supplied and completed in an efficient and timely manner.
Related Experience
* Extensive experience in a customer service environment
* Interpersonal skills, particularly negotiating & facilitation, to identify customer needs and ways to satisfy them
* Ability to develop knowledge of the products & services of Client Safety
* Experience working under pressure and organising work priorities to meet deadlines
* Basic logistics experience
* Ability to promote products & services
* Ability to read/understand technical documentation and diagrams
* Ability to comprehend technical problems presented by customers and provide effective solutions
* Must be able to perform routine arithmetic calculations, have a complete understanding of pricing structures & gross margin
* Must be a capable English communicator to effectively articulate verbal and written company / product information and quotations to customers
* Sound understanding of the requirements for storage, handling and shipping of Dangerous Goods
* Must be able to lift weights whilst being aware of OH&S requirements
* Effectively service client product range
Stores / Warehouse
* Receive & record deliveries; entering customer owned equipment into the job control system to ensure our internal processes are followed and the items can be monitored through the service process
* Process all necessary documentation for goods received to make appropriate Technicians aware in a timely manner
* Pack & dispatch equipment to ensure safe arrival at destination
* Maintain a clean, orderly & secure stores area and comply with all OH&S requirements to guarantee a safe working environment
* Operate the 'Walkie Stacker' forklift whilst complying with all relevant rules and regulations relating to forklift use
Administration
* Maintain accurate, up to date customer detail to ensure correct delivery and invoice
* Promptly prepare and complete Service job sheets to ensure that all jobs are invoiced in a timely manner
* Ensure all equipment status in CRM software is correct for accurate tracking
* Create relevant reports from CRM software as requested by management to monitor business activity
Customer Service
* Respond to customer enquiries, forward quotations and follow up on outstanding topics to supply a positive touch experience for the customer and generate business from our opportunities
Inventory Coordination
* Monitor and report on stock levels to ensure customer demands can be met in a timely manner
* Ensure adequate levels of bar code labels, scanners and stickers are available for customer stock
* Source and acquire 3rd party equipment as required by customer management to provide added value to our offer
Service Duties
* Undertake the maintenance & testing of equipment in line with training and competencies to ensure the equipment is properly maintained and fit for purpose according to its specifications, customer requirements and relevant standards
* Maintain accurate service records to provide traceability of maintenance documentation in accordance with relevant standards and QA requirements
Business Development
* Prepare detailed quotations for customers in accordance with published company guidelines to provide a format for the customer to make an informed evaluation for provision of services and to provide the company with a record of business opportunities
* Take customer queries and positively promote client at every opportunity
* Be vigilant for leads and business opportunities then pass onto the relevant staff member e.g. Service or Sales etc.
Health, Safety, Environment & Quality
* Fostering a culture of safety first, perform all activities with safety as a priority; following OH&S standards and the client Integrated Management System (IMS)
Special Competencies
* Computer skills – Microsoft Windows applications, CRM software & Outlook
* Ability to handle multi tasks simultaneously
* Analytical & problem‑solving skills

Education & Qualifications
* Successful completion of high school (Year 10 or equivalent)
* Certificate III in administration / customer service an advantage but not essential
