About the Role
The Student Services Officer is responsible for providing high quality reception services to internal and external stakeholders of the College.
This is the first point of contact for enquiries.
The main responsibilities of the role include provision of information and assistance to students, University and College staff, education agents and the general public via face-to-face, email, internet and telephone interactions as well as ensuring the reception area is professionally maintained and customers are dealt with proficiently and to the utmost standards. The Student Services Officer is also assisting with general administrative activities.
What You'll Do
Provide high quality reception and student administration for WSUIC including responding to telephone, email and in-person enquiries on a range of student related matters including enrolment, student fees, immigration requirements and progression to Western Sydney University.
Ensure the efficient management of incoming calls, including enquiry referral in accordance with operational guidelines.
Other general duties as required.
Organise and order catering as required and assist with all college events. Undertake ordering and maintenance of stationary, office machines and kitchen supplies.
General upkeep and maintenance of general use office space store rooms, teaching staff room and kitchen areas; arrange for equipment maintenance.
Provide administrative assistance with general office duties including photocopying, printing and filing as required.
Management of the meeting agenda for staff meetings every fortnight. Maintain student forms for reception.
Access and update student records on the student management system, including contact details and academic notes.
Process student requests including replacement of documents and confirmation letters.
Schedule student appointments.
Send, receive and distribute mail, and enquiry emails, including arranging freight, courier deliveries and reconciliation of accounts for same.
Qualifications Essential
Completion of a diploma level qualification with relevant work related experience or a certificate level qualification with post-certificate relevant work experience or an equivalent combination of relevant experience and/or education/training.
Well-developed administration and communication skills that include a high level of accuracy and an attention to detail that allows the appointee to undertake basic financial transactions and data entry processes.
Demonstrated commitment to the provision of high standards of customer service in a cross-cultural environment, including the ability to communicate professionally and confidently with students, external clients and agents and academic and administrative staff at all levels of the organisation.
Demonstrated computer literacy in standard operating systems such as Microsoft Word, Excel and Outlook.
Demonstrated ability to work effectively in a busy team environment.
Desirable
Previous experience in an education environment.
Previous experience in organising student events and excursions.
