Job Title

We are seeking a highly skilled and experienced Administrative Assistant to provide support to our operations team.

* Provide administrative assistance in all aspects as tasked.
* Support the business unit with the preparation of systems, processes, and documentation.
* Maintain and file all process and toolset documentation as per the record management requirements.
* Generate reviews of SOPs, SWMS, and Processes in line with Manager's improvement Plan.
* Create a range of documentation and requisitions, associated memos, and evaluation reports.
* Coordinate and minute take Operations leadership and planning meetings informing improvement planning, tracking actions and deliverables.
* Effectively and accurately communicate relevant information to the team, contractors, consultants, and Finance/Contracts teams as required.
* Assist in preparation of funding agreements with client, grant funding bodies as applicable to support strategies.
* Develop registers and forms as requested.
* Assist in obtaining approvals and permits for internal and external authorities.
* Assist Manager Operations in developing communication and workshops for quarterly updates to the operations team/s.


Requirements

* Highly developed process/administration skills.
* At least 3 years' experience in a similar position.
* Demonstrated analytical and problem-solving skills.
* Strong written and verbal communication skills (including negotiation and report writing).
* High level attention to detail.
* Well-developed documentation skills.
* Well-developed organisational and time management skills.
* High level customer service skills in relation to the administration and delivery of projects.
* Intermediate-Advanced level of functionality with Ms Word, Excel, and Systems software.
* Strong ability to foster positive and professional relationships.
* Able to demonstrate high-level interpersonal, verbal, and written communication skills.
* Problem-solving skills.
* Negotiation skills.
* Proven ability to motivate, lead, and manage teams.
* Police clearance.
* First aid certificate.
* C-class drivers license.
* Willing to undergo pre-employment test.
