An outstanding opportunity has arisen within our Office Buildings team to undertake the role of **Assistant Property Manager, Office Buildings** on a 6-month part-time contract with the possibility of extension and/or permanency. This role is a minimum 31 hrs p/w.
The **Assistant Property Manager will report to the Office Building Portfolio Manager **and will assist in managing the Office Building assets in accordance with the business plans and in line with Hawaiian's policies and procedures
Essential Duties
- Essential duties include, but are not limited to, the following:_
- Assist with monthly, quarterly and annual reporting
- Assist in the portfolio financial management in an effective and efficient manner which optimises Net Cash Flow
- Complete administrative functions promptly and in an efficient manner
- Meet all legislative & Hawaiian requirements/policies (eg. OH&S, EEO, Rehabilitation, Environmental) and mitigate all legal, operational and safety risks related to the role in a proactive manner
- Maintain up to date data & records in Hawaiian's operating systems to ensure 100% accuracy
- Develop and maintain strong relationships with the team, tenants, customers, the community, and contractors
- Be competent in all Hawaiian systems and procedures with the ability to train new and existing employees in these systems and procedures
- Liaise with and assist all departments, Property Managers, Marketing, Community, OH&S, and Operations Management as required
- Pursue tenancy arrears in accordance with instruction, including undertaking accurate account reconciliations as required, issuing aged letters and if instructed, liaising with solicitors
- Prepare calculation spreadsheets and ensure rent reviews are undertaken in line with Lease conditions and advise Tenants of such by way of letter
- Assist with preparation of VO audit files and issue audit statements to tenants in accordance with the Commercial Tenancy Act
- Compilation of monthly tenant recharges for items such as conference room recharges for Bishops See portfolio
- Management of car parking registers, plans and licences following the instruction of the PM
- Preparation of stack plans, storage plans and car park plans (and associated allocation registers)
- Maintain tenant contact lists including emergency, after-hours, tenant representative and key contacts
- Assist in preparation of NABERS data for the portfolio.

Qualification Requirements
- Minimum 5 years' experience in the retail or commercial property industry.
- Financial reporting and debtor control experience required.
- Strong Microsoft Office experience with the ability to quickly learn new systems with training.
- CBRE MRI Pulse and Pulsetech Systems experience would be desirable

- Demonstrate exceptional customer service; servicing client requirements, via telephone and in person, with maturity and empathy.
