Western Respiratory Sleep is a clinician-owned, purpose-driven specialist practice delivering respiratory and sleep care across Western Australia. We are in a period of sustained growth and are seeking an experienced Reception Team Lead to lead and strengthen our front-of-house operations.
This is a leadership role for an experienced senior medical receptionist who is ready to own standards, lead people, and drive consistency across a busy specialist clinic.
About the Role
As Reception Team Lead, you will be responsible for the day-to-day leadership and performance of the reception team, ensuring high standards of patient experience, workflow efficiency, and administrative accuracy.
You will work closely with clinicians and management, acting as the key point of escalation for reception operations and contributing to continuous improvement across the practice.
This role is based at our Joondalup clinic and may progress to full-time for the right candidate
Key Responsibilities
* Lead, support, and coordinate the medical reception team
* Set and maintain front-of-house standards and workflows
* Support onboarding, training, and day-to-day guidance of reception staff
* Manage rostering, leave coordination, and task allocation
* Act as the first escalation point for complex patient or operational issues
* Ensure accurate use of medical software, billing processes, and compliance requirements
* Identify and implement improvements to administrative systems and processes
Work collaboratively with doctors and clinical staff to support smooth clinic operations
About You
You are a confident, organised, and calm leader who enjoys building strong teams and maintaining high standards in a fast-paced clinical environment.
You will have:
* Minimum 3 years' experience in medical administration, preferably in specialist practice
* Demonstrated experience in a senior or leadership reception role
* Strong working knowledge of medical software, Medicare, WorkCover, DVA, and Microsoft Office
* Excellent communication skills and professional judgement
* The ability to lead by example, manage competing priorities, and handle escalations effectively
