Why Your Role Matters

The Event Operations Assistant plays a vital role in supporting the engagement of classical musicians and the delivery of quality performances and related preparation, for ensembles on campus at UNSW including Australia Ensemble UNSW, and other special events and activities.

This role entails assisting in concert production on campus and is the primary contact for general public enquiries relating to performance events ensuring excellent customer service, administrative and production support.

The role of Event Operations Assistant reports to the Creative Program Manager and has no direct reports.

Key responsibilities include:

Support the delivery of rehearsals, concerts, and special events, including event operations, production coordination, and front-of-house activities.

Act as the primary contact for box office enquiries, ticketing transactions, and audience communications.

Liaise with performers and support artist engagement, including coordinating schedules, music distribution, and event logistics.

Coordinate administrative processes including contracts, casual engagements, travel arrangements, payments, and event-related documentation.

Maintain accurate records relating to finances, memberships, donor engagement, and unit operations.

Build and maintain positive relationships with musicians, patrons, donors, staff, and external stakeholders.

Support the delivery of online and hybrid events where required.

About You

You are organised, proactive with a high attention to detail. You understand the unique needs of musicians and performing arts environments and enjoy working behind the scenes to help create exceptional artistic experiences. You will bring:

Experience working within a music performance environment and an understanding of terminology. You would have previous experience working with orchestras, chamber ensembles, choirs, or other classical music performance groups and may have a Music or Performance degree.

Experience in customer service and great stakeholder engagement skills, with the ability to communicate professionally and confidently with people from diverse backgrounds and manage challenging situations with diplomacy and professionalism.

Excellent attention to detail and accuracy, particularly when managing contracts, financial information, payments, and administrative documentation.

Strong organisational skills with the ability to manage multiple priorities and deadlines.

Confidence using Microsoft Office applications and willingness to learn new systems and platforms.

This is a part-time role working 21 hours per week. Working days are Tuesday, Wednesday, and Friday, which are a requirement of the position. The role is primarily office-based, with flexibility to work from home one day per week following an initial onboarding period.

Due to the nature of the performance program, applicants must also be available to work approximately 16 to 18 evenings per year between 5:00pm and 10:30pm to support rehearsals and concerts. These shifts typically occur on Tuesdays, Fridays, or Saturdays and form an essential part of the role.

Candidates will need to have full working rights – this role is not available for sponsorship.
