Provide administrative support to Assistant Secretary.
This opportunity is working full time hours (Monday to Friday, 37.5 hours), with a salary range from $69,000-$76,000 plus 15.4% Superannuation.
The APS4 Executive Assistant will provide a range of high-level administrative support services, which includes, but is not limited to:
- Address routine to moderately complex telephone enquiries and independently respond to internal and external queries.
- Monitor and track incoming documents to ensure correspondence is triaged and actioned accordingly.
- Provide quality assurance (including proof reading, editing and drafting) of documents such as briefs, minutes and other advice in accordance with departmental guidelines.
- Providing administrative support in a timely manner, including but not limited to, printing and collating documents and other briefing material.
- Undertaking filing and records management functions and ensure records are
accurate, complete and are managed in accordance with departmental policy.
- Coordinating and purchasing corporate stationary and office supplies.
- Update and regularly distribute contact lists.
- Diary management, including prioritising time and drawing attention to matters of importance.
- React quickly and flexibly to any changes in the executive's schedule, including rescheduling to achieve the required outcomes.
- Under general supervision and direction, prepare draft correspondence and other communication.
- Coordinate travel arrangements, accommodation and supporting documentation, including acquitting corporate travel cards.
- Arrange and coordinate meetings with internal and external stakeholders and coordinate venue bookings, audio visual equipment and other meeting resources as required.
- Liaise with stakeholders and assist with the resolution of straightforward matters.
- Experience in an Executive Assistant role or administrative support role
- Experience in or the ability to quickly acquire knowledge of record management systems
- Ability to quickly gain knowledge of travel systems and related policy.
