The Office is part of the Department of Education's State Schools Strategy Division and supports the School Improvement Branch, which plays a pivotal role in improving educational outcomes for students across Queensland. About the Role
As the Executive Services Officer, you will provide professional, confidential administrative and executive support to the ADG. Reporting directly to the Principal Advisor, you will collaborate closely with senior executives across various business units, including:
* Curriculum, Teaching and Learning
* Queensland Representative School Sport
* Reviews and School Improvement
* Strategic Initiatives and Innovation
You will be the central coordination point for the ADG, managing their calendars, organising meetings and events, preparing high‑quality correspondence, and ensuring information flows seamlessly.
Key Responsibilities
* Deliver high‑quality, confidential administrative and executive support, including meeting preparation, coordination and secretariat functions.
* Maintain effective time management for the ADG by managing their calendar, prioritising correspondence, and responding to queries promptly.
* Coordinate travel arrangements and accurately process travel claims and reconciliations.
* Develop, implement and review executive support systems and procedures to ensure alignment with departmental standards.
* Liaise with senior management, departmental business units and external agencies to provide seamless administrative support.
* Maintain a high level of accuracy in all correspondence and administrative documents, utilising software such as MS Teams, Content Manager and OneNote.
* Promote a culture of continuous improvement in administrative systems and processes.
About You
* Outstanding communication skills and a strong customer service focus, with the ability to build and maintain professional relationships.
* High‑level problem‑solving skills, with the ability to prioritise tasks and manage competing demands effectively.
* Exceptional attention to detail and flexibility to adapt to the evolving needs of senior executives and the broader branch.
* Proficiency in using software programs such as Outlook, MS Teams, Content Manager, SAP and OneNote.
* Experience working collaboratively with a diverse range of internal and external stakeholders.
