Our opportunity
We have an opportunity for a Receptionist to join our Perth office. You will provide an exceptional front office experience for both visitors as well as staff. This role is to be a go‐to person for the WA team and the first point of contact for customers while providing full administrative support to WA Personal Assistant and Operations Manager as well as adhoc support as needed to the wider team.
This is a part time role Tuesday - Thursday 8.30am-5.00pm and Friday 8.30am-12pm.
Role would include, but is not limited to:
* Management of front of house
* Maintaining a clean and organised reception area, ensuring communal spaces are well presented and well stocked and front desk is tidy and organised
* Developing rapport with interstate office Concierge/Reception roles to complement local activity and improve efficiency.
* Maintaining/developing WA Reception Handbook.
* Placing stock orders for stationery and adhoc orders as required
* Daily general kitchen duties including inventory and ordering of stock, stacking and emptying dishwasher; general cleaning etc.
* Answering the main line and directing inquiries, taking messages, or responding to customers where appropriate
* Meeting and greeting visitors, alerting team to arrivals, accepting package deliveries
* Distribution of correspondence (internal/external mail), including organisation of couriers via reception
* Assisting with coordination and management of events including reset between events to pack up and down post events
* AV – Work with AV support and Digital to develop troubleshooting capability and understanding of AV systems to support staff where possible.
* Assisting with raising quotes, purchase orders and invoices
* Assisting with data entry, document preparation, and file management
* A good communicator with great multi-tasking skills and the ability to fit within a dynamic team
* WA Office management including:
* Raising work orders and greeting contractors
* Report and resolve any building related issues including items such as air conditioning maintenance and agreements
* Cleaners as well as cleaning inspections
* General maintenance
* Know people – Build positive relationships with Mirvac staff, be able to recognise Board members and regular visitors to provide personal service. Know ELT and MLT members and their EAs/Pas to support their needs.
* Safety – Understand our responsibilities regarding safety and safety procedures – assist with visitor check-in as required, visitor escort requirement, staff induction and emergency procedures to be able to direct others in the event of a safety concern, e.g. fire drill.
* Manage and maintain the Curation Calendar for WA office to ensure events run to time, budget as well as preparing everything required
* Maintain and manage the WA pool cars, ensuring timely servicing as well as resolving any matters that arise and car detailing
* Adhoc administrative tasks as required from the WA team
Your point of difference
We are seeking a reliable and organised Administrator with at least 1-3 years' experience in administration or reception. Real estate experience is preferred, however candidates with strong transferable administrative skills are encouraged to apply. You will be confident managing multiple priorities, solving day‐to‐day problems independently and maintaining a high level of attention to detail. Strong ethics, professionalism, resilience and a willingness to learn are essential. Excellent communication, time‐management and organisational skills are required, along with the ability to work effectively both independently and as part of a team.
