Full time, fixed term opportunity until July 2026 Exciting opportunity to be an Operations Coordinator providing operational support within the Sydney Medical School Operations Team Base Salary from ($108,557 - $118,267) 17% superannuation About the opportunity We are seeking an Operations Coordinator to manage general administrative and operational support including preparing documents, responding to complex queries and sourcing solutions for the work area. This position reports to the School Manager for Sydney Medical School and manages a complex range of project areas across our school including the award of academic titles, research grant requests, school events, school awards and support for the Post-Graduate Coursework and Medical Program teams. Your key responsibilities will be to: provide high quality, efficient organisational support and administration operations services to Sydney Medical School. management of a range of projects as required by the Head of School and Dean, and the School Manager. management of appropriate school events including the Sydney Medical School retreat, awards events and whole-of-school meetings. assist the Head of School and Dean to manage the academic promotions process for Levels A to C, including responding to broad ranging enquiries from staff across the faculty in line with university policy and procedure coordinate the management of the Academic titles applications through the Affiliate management system triage the SMS decision requests incoming requests for approvals to the Head of School and Dean, including liaising with the SMS Executive team, following up issues and completing document management and records. support the SMS operations team in the management of casual staff recruitment, onboarding and allocation of workload into the casual management system. skillfully manage relationships with stakeholders, addressing any concerns or conflicts that may arise, and work towards mutually beneficial resolutions. maintain accurate and organized records, ensuring that important documents and information are properly filed and easily accessible. assist in budget management by monitoring expenses, tracking financial transactions, and providing relevant support to the School Manager and Executive team. any other duties assigned to this position by the Manager, Operations and Project and the Dean of Sydney Medical School. About you demonstrate excellent time and workload management skills and demonstrate the ability to prioritise effectively, manage multiple tasks, meet deadlines and achieve required outcomes display excellent verbal and written communication skills, and have prior experience handling front line enquiries and providing exceptional customer service build strong professional relationships and demonstrate well-developed negotiation, conflict resolution, and influencing skills. You will have extensive experience with internal and external executive level stakeholders showcase your proactive and positive approach to problem solving and process improvement possess excellent proficiency with Microsoft Office applications, especially Word, Excel, PowerPoint, Outlook and OneDrive.
