In this role you'll be working on administration activities and supporting the team.

About the role

We are currently looking for a Customer Service Administrator based in Acacia Ridge. Reporting to the Customer Service Manager, the Customer Service Administrator shall be the initial point of contact with customers and liaise with site operational staff to support DIFOT and to ensure that warehouse administration tasks are completed appropriately.

Key Responsibilities

- Warehouse Claims: Monitor and escalate warehouse claims for action.
- Product and Customer Setup: Ensure new products and customers are accurately set up.
- Reports and Reviews: Develop and distribute monthly/quarterly customer reports, and review the monthly fuel levy for approval.
- Safety Data Sheets (SDS): Ensure SDS are up to date and valid.
- Pallet Capacity & Vehicle Management: Coordinate with site management to monitor pallet capacity and manage vehicle registrations.
- Inbox Management & Reports: Monitor shared warehousing inbox tasks and distribute fuel card, toll usage, and phone bill reports for site management review.
- Purchase Order Reconciliation: Report and resolve discrepancies between purchase orders and invoices.
- Financial Reporting: Review and filter credit card statements for management, and support transition tasks to Shared Services Model.
- Order Processing: Ensure daily customer orders are processed and supported by Proof of Delivery (POD).
- Customer Queries & Reports: Respond to customer queries and provide required reports.
- Invoice Reconciliation: Weekly reconciliation of invoices and confirmation of supplier invoices.
- Safety Compliance & Stocktaking: Support the collection of Material Safety Data Sheets (MSDS) and assist in stocktaking activities.
- Accounts Payable/Receivable: Processing payment runs for supplier invoices and creating/distributing customer invoices

About you

To be considered for this role, you will need:

- At least 2 years of experience in a similar role.
- Commitment to customer service and DIFOT
- Ability to manage competing priorities in a high-volume processing environment
- Attention to detail and data entry accuracy
- Demonstrated written and verbal communication skills
- Ability to work collaboratively as part of a team to provide excellent customer service
- Proficiency with the Microsoft Office Suite
- Ability to comply with Company policies, procedures, and applicable legislative requirements
- Knowledge of the Australian Dangerous Goods Code (ADG) and/or Dangerous Goods Storage & Handling Regulations would be highly regarded as would experience in working with inventory/warehouse management systems.
